Front Office Administrator. Role Type: Permanent Full Time. Location: Cavan. We are seeking a front office administrator/ receptionist for a business in the Cavan area. This will suit someone about two years work experience that can work autonomously and is interested in learning additional skills. You will be greeting mainly business customers in a professional and polite manner. The front desk isn't overly busy and you will be assigned administrative tasks to assist the financial support staff. This role is commutable from Fermanagh and parts of north Monaghan. Main tasks and responsibilities. Front Office. Receiving, Documenting and Distributing Calls. Answering machine organization. Sending and Receiving faxes. Scanning documents. Post. Incoming - Sorting filing and distribution. Organising stamps and registered post. SHEQ. Acting fire marshall. Organising fire drills. Ensuring monthly equipment checks carried out. Organising sign in sheets for reception. Stationery. Stationery orders. Management of store inventory. Maintenance of file store and contents listing. Manage canteen supplies. General activities. Files set up. Filing invoices. Maintenance of file store and contents listing. Documenting employee expenses and ensuring all receipts are received as back up. Making credit card payments as necessary. Maintaining documentation relating to Fleet Insurance, Motor tax, Motor vehicle maintenance and NCT to including the recording of fines and vehicle damages. Corresponding with providers of Fleet Insurance, Motor tax, Motor vehicle maintenance and NCT to report incidents or with various ad hoc queries. Organisation and tracking of phones - office phones, mobile phones and site phones. Organisation and tracking of fuel card & toll tags. Keep reception area's & tea stations tidy. Hospitality duties. Organise efficient bin collection. Ad hoc duties as requested. Education and Experience. proficient in letter writing. proficient in Microsoft software, specifically excel and Microsoft word.
